This role sits within the Portfolio & Performance Management Team, part of the Office of the Chief Operating Office (OCOO).

The OCOO co-ordinates activity across IT@BOI. It ensures focus on risk, quality, efficiency and effectiveness, helping the organisation meet its financial, operational, performance and compliance objectives.

The Portfolio Management & Reporting Team Lead will manage a team of Portfolio and Performance analysts, responsible for supporting the governance and management of the change portfolio including all components of the Integrated Plan.

Key responsibilities:

Change Portfolio Governance

  • Manage the processes, standards and governance frameworks behind the IT@BoI enterprise change portfolio
  • Ensure the change portfolio is appropriately set up, maintained and governed on the IT@BoI PPM tool (Clarity)
  • Facilitate and support the demand planning processes and governance and subsequent funding approval processes
  • Contribute to the development of the Bank Delivery Methodology and assessment of all proposed changes to ensure appropriate to the change portfolio
  • Generate standards and templates to gather project information and communicate these with project managers
  • Own and manage the data on the IT@BoI PPM tool (Clarity)

Change Portfolio Prioritisation

  • Support Business Partners in prioritising investment initiatives based on optimum project portfolio benefit to the organisation by providing portfolio data analysis and modellingConduct scenario planning and analysis to justify the selection and relative risks involved
  • Act as secretariat for change governance forums

Change Portfolio Monitoring

  • Provide holistic MI of change portfolio status covering all the relevant dimensions (e.g. financials, milestones, risks, issues, KPIs) to support decision making
  • Ensure timely, accurate and appropriate reports are made available to all stakeholders using data from PPM tool (Clarity) with value add analysis
  • Usethe available information to review and assess the portfolio for contribution to strategic goals and delivery of value, given resource, budget and risk constraints, identifying and acting upon areas of variance or non-conformance to plan
  • Monitor and ensure that an integrated view of resource capacity and utilisation is being collated and communicated to ensure our resources are being used effectively
  • Define and manage an effective benefits management process to monitor and communicate benefits realisation
  • Create a view of the planned benefits and their impact on the Business for the coming years, therefore controlling the portfolio`s execution and estimated impact on the Business

Project Assurance

  • Support individual projects by providing advice and guidance regarding project governance, management and benefits realisationProvide a quality assurance support role ensuring that projects are well managed and adhering to appropriate standards (Bank Delivery Methodology) and good practice

Leadership & People Management

  • Lead by example on the delivery and development of strong people management practices in line with Group standards, including completion of goals and reviews for direct reports and support of learning and development for individuals and the overall unit
  • Motivate and inspire people to achieve common objectives
  • Support line management in the embedding of IT@BoI culture and behaviours


Risk & Compliance

  • Maintainand monitor standards, controls, processes and solutions, to minimise business and IT risk and ensure full compliance with all Group, Legal and Regulatory requirements and standards

Essential Skills & Experience:

  • Project & Programme Management
  • Relationship Management
  • Business Analysis
  • Reporting using various mediums - including ppt, excel, (tableau, Power BIand other reporting tools an advantage)

Sound experience in managing IT / business change:

  • Experience in programme / project management, managing multiple concurrent initiatives
  • Experience in change portfolio management and reporting
  • KPI / Dashboards development and reporting
  • Evidence of ability to work effectively and collaboratively across functions
  • Proven influencer and communicator with stakeholders at all levels
