Purpose of the Role

  • As the first point of contact for external stake holders to reflect a positive first impression and demonstrate the business's image and values.
  • To ensure that all customers, delivery drivers and other visitors are received in a pleasant and friendly manner.
  • To handle all incoming telephone calls quickly and efficiently
  • To deal with all incoming and outgoing post.
  • To work with all staff within the office and from time to time carry out other administrative work as required.

Key Accountabilities

  • To operate and understand the company switchboard system.
  • To ensure all calls are handled efficiently and courteously.
  • To provide administrative support accurately and in a timely manner as required.
  • To offer and provide drinks to visitors and guests as required.
  • Maintain an up-to-date attendance log of staff so that incoming calls can be dealt with in the correct manner.
  • Develop and maintain professional relationships with all staff, customers and external visitors such as delivery drivers and other suppliers.
  • To maintain a working knowledge of Microsoft office products.
  • To be prepared to take on additional work as required.

This role is part of a job Share that will be scheduled as 2 weeks on Rota and Two weeks off Rota.

  • Excellent communication skills
  • Good knowledge of Microsoft Office products
  • Good administration skills
  • Able to take ownership and work in an autonomous capacity
  • Team player
  • Experience of performing reception duties
  • Experience of using digital switchboard systems
  • To be able to work effectively while working in a busy environment
