Purpose of the Role

The DPMO Resourcing Operations function is a critical team within GTCS, which is responsible for the effective and efficient management of Resourcing for Group Change (GC) and IT Engineering. The bank seeks applicants to fulfil the role of Resource Operations Analyst within this critical function.

The team liaises across Group Change (with programme and project delivery teams, Change Delivery Directors; Portfolio Engagement Leads, and strategic vendors partners) and IT Engineering to manage supply and demand. In doing so the team ensures requirements for resources, including any specialist skills requirements to meet specific demand, are met while accounting for:

  • Achieving optimal assignment of resources
  • Adherence to the bank's sourcing strategies including utilisation of bank resources first
  • Achieving "right person, right role"
  • Optimising value for money at bank and strategic vendor partner levels.

Key Accountabilities

The DPMO Resourcing Operations function is responsible for supporting:

  • Group Change stakeholders
  • IT Engineering stakeholders
  • Vendor Finance
  • Procurement
  • Strategic Vendor partners

in navigating of all resourcing processes from requesting a resource; to fulfilling such open demand; to progressing with the activities required once a resource is identified to start on a project, including necessary approvals and onboarding; to correctly offboarding resources when appropriate.

The team provides the processes and tools to enable all relevant stakeholders to deliver on their related accountabilities and the team also maintains a suite of operational reports and management KPIs to monitor and manage performance.

The successful candidate will be responsible for:

  • Monitor data integrity of resource alignment and resource allocations data and ensure maintenance of up-to-date data via Clarity and the Onboarding / Assignment SharePoint by projects and programmes across the GC portfolios
  • Provide support to various GC and IT Engineering stakeholders, including PMOs, PMs, Portfolio Engagement Leads and Change Delivery Directors, in their adherence to resourcing processes
  • Monitor the Resourcing Operations team mailbox
  • Prepare, review and publish daily, weekly and monthly operational Resourcing reports and KPIs to the Head of DPMO and to the relevant senior GC and IT Engineering stakeholders to support the monitoring and management of performance
  • Support ad hoc reporting, data analysis and data clean up requests with respect to resourcing operations activities
  • Complete maintenance of the existing Resourcing Operations reporting suite and where required, complete technical design, development and testing for any additional automated or self-service reports required
  • Where required, support any additional users in their adoption of automated and self-service reporting functionality from DPMO Resourcing Operations
  • Drive ongoing efficiencies and improvements to resourcing processes and reporting, through automation and continuing to maximise the use of Clarity functionality, to maximize performance and business effectiveness
  • Provide support to the Resource Scheduling Analyst and Resource Scheduling Lead in their overseeing of supply & demand for and provision of support to GC and IT Engineering, particularly with any critical / priority requests when there is peak demand
  • Provide support in the regular communication / reiteration of resourcing processes (through BDM guidance, the Resourcing Handbook, presentations on Competency Calls and via Delivery meetings) to ensure they are fully understood and adhered to

Essential Skills & Experience

  • Strong analytical and problem-solving skills
  • Strong data analysis skills including with identifying trends and insights
  • Proven experience in the design and development of reporting solutions, including reports automation, in addition to experience in gathering reporting requirements
  • Data Scripting and Data Clean-up skills / experience
  • Strong Excel skills are critical
  • Knowledge of and experience with using Clarity
  • Knowledge of and experience with resourcing data
  • Knowledge of BDM (preferable but not required)
  • Good communication and relationship management skills
  • Effective oral and written communication skills - attention to detail is critical
  • Strong organisational skills, focusing on quality processes and results
  • Excels at operating in a fast-paced environment and adaptable to changing business situations.

Desirable Qualifications, Skills & Experience

  • A relevant primary or advanced University degree
